William Paterson University invites applications for the position of Assistant Registrar. Reporting to the Registrar, the Assistant Registrar is responsible for making significant and measurable contributions to the efficient and effective workings of the department by evaluating student credits towards degree completion and by working collaboratively with Admissions, Advisement and other academic departments on issues related to curriculum and student related academic policies.  This role provides critical service to students and is, in large part, a one-to-one student facing role within the Registrar Office.

Department overview:

The Office of the Registrar is dedicated to providing accurate timely services to students, faculty, administrators, alumni, and the public.  These services include, but are not limited to:

  • maintaining accurate academic according to regulated guidelines
  • registration records including course offerings
  • recording grades and degree completion progress
  • documenting veteran certification
  • facilitating room scheduling
  • implementing the university’s academic policies concerning the integrity of WP degrees

The Office of the Registrar strives toward excellence by continuously evaluating efficiency and effectiveness, improving processes and practices, and actively seeking ways to best serve the campus community.   The Office of the Registrar is dedicated to providing an environment that encourages growth, supports academic integrity, and promotes excellence in communications and respect.


Responsibilities include but are not limited to:

  • Conducting degree audit reviews and monitoring student degree compliance; communicating with students on degree requirement completion and processing course substitution requests.
  • Assisting with registration/scheduling for incoming freshman and transfer students.
  • Reviewing and updating transfer credits for continuing students including National and International Exchange Programs.
  • Monitoring and maintaining all aspects of NJ Transfer process for the University.
  • Creating and overseeing communication plans regarding graduation process.
  • Monitoring student questions and concerns on Registrar Office social media outlets; evaluate social media impact and update website periodically.
  • Developing instructional videos for the University Community regarding Registrar related functions.
  • Assisting in updating programs in DegreeWorks through Scribe.
  • Maintaining Student Education Planner in DegreeWorks.
  • Other responsibilities as assigned.   



  • Bachelor’s degree
  • Three (3) or more years’ experience in a Registrar Office using a student information system. 
  • Demonstrated understanding of the requirements of the Family Education Rights and Privacy Act (FERPA) of 1974, as amended, regarding the privacy of student records and general information. 
  • Capable of maintaining the confidentiality of all conversations, incidents, and information processed and maintained by the University.
  • Able to explain the basic elements of FERPA to the public, students, faculty, and staff

Preferred Qualifications:

  • Master’s degree
  • Knowledge of DegreeWorks and Banner Student system
  • Proficiency in MS Word and EXCEL
  • Familiarity with the priorities of faculty and academic departments
  • In-depth knowledge of transfer credit procedures and best practices.

  • Ability to troubleshoot complex problems and develop meaningful solutions in an efficient and effective manner
