William Paterson University is seeking an executive level Senior Administrative Assistant to provide support to the President of the University. S/he has frequent interface with faculty, students and staff, major donors, corporate and community leaders and elected officials. S/he works with confidential information and exercises discretion, professionalism and tact in the conduct of assigned responsibilities. The Senior Administrative Assistant has frequent contact with University Board of Trustee members and reports to the President and Chief of Staff to the President. This position is one of three support positions in the President’s Office.

Responsibilities include but are not limited to: providing primary administrative support to the President which includes maximizing the efficiency of workflow processes, providing timely information on major projects, effective and efficient management of the President’s calendar, and assisting with the organization of site visits as well as small gatherings for VIP visitors to the campus. S/he will serve as the initial point of contact in the Office for donors as well as academic and community leaders; functions as a spokesperson for the President as appropriate and interacts with individuals at all levels on a variety of issues; manages a high volume of communications with rapidly changing priorities and handles queries and complaints which escalate to the President’s Office. In addition, the selected candidate compiles data and prepares cogent reports; independently drafts correspondence and communications; coordinates all logistical aspects related to the President’s official functions on and off campus including but not limited to travel, catering and other ancillary activities; assists with the management of the departmental budget and facilitates the preparation of or prepares professional visual presentations.

Bachelor’s degree and five (5) years’ experience as an executive assistant to a senior executive are required. Must demonstrate ability to be a team player and work cooperatively with office staff and other staff colleagues on campus. Must possess excellent written and oral communication skills; exceptional interpersonal, customer service and organizational skills; experience working in a fast paced, complex work environment with multiple and competing deadlines, strong attention to detail and extensive knowledge of Microsoft Office Suite and flexibility to work some early morning and evening hours are required.

Salary range $60,000 - $75,000
