Reporting to the Vice President of Institutional Advancement, the Manager directs all activities related to constituent records management, gift and pledge processing as well as document and file management. S/he works closely with the Foundation and University Finance staff to ensure that all charitable contributions to the University and processing procedures respect donors’ intentions and are compliant with IRS, FASB accounting and CASE guidelines. This position is responsible for maintaining the integrity and confidentiality of a complex array of donor and prospect information.
The Manager is responsible for managing the day-to-day operations of the department; ensuring the processing of philanthropic gifts, pledges and grants is timely and guaranteeing accuracy of all biographical data being entered. The selected candidate will oversee data imports, export feeds and convert and transfer data files. In addition, the Manager will establish guidelines, develop, and update policies and procedures related to gift and data management. S/he serves as the technical liaison for the division and works collaboratively with IA staff and University departments to compile data, recommend and design new as well as update existing reports.
A Bachelor’s degree from an accredited college or university in accounting, finance, computer science or related field; Master’s degree in related field preferred. Four years (4) of experience leading the donor gift processing function at an institution of higher education or in a non-profit fundraising environment; or five (5) years supervisory experience in an accounts payable/receivable department, which includes financial reporting responsibilities.
The successful candidate must possess excellent computer skills and knowledge of the full suite of MS Office software programs. Demonstrated competency in the design and support of Advancement related data reporting tools. Specifically, experience managing and using an enterprise information system such as Banner Advance; Blackbaud NXT, Raiser’s Edge, Salesforce or similar software and knowledge of CASE, IRS, and FASB guidelines is required. Technical experience using database languages such as SQL, SAS or other data reporting tools is required as well. In addition, s/he will possess the capacity to build, develop and sustain positive and cooperative relationships with internal and external constituents; and strong organizational, analytical and time management skills; demonstrated ability to analyze and interpret data; manage multiple projects concurrently and possess strong organizational skills. Working knowledge of fundraising best practices strongly preferred.
